This Payment and Cancellation Policy governs payments, cancellations, and refunds for bookings made through the CollabJourneys platform.

1. Payments

1.1. Payment Amount and Structure

When booking a group tour through the CollabJourneys platform, travelers are generally required to make full payment for the chosen tour at the time of booking, unless otherwise specified for a particular tour, such as cases where deposits, staged payments, or partial prepayments are explicitly indicated in the tour description or booking flow.

1.2. Payment Methods

Payment methods accepted on the platform include major credit cards and other payment options made available during the booking process.

1.3. Payment Processing

All payments made on CollabJourneys are securely processed through third-party payment service providers.

1.4. Role of CollabJourneys in Payments

CollabJourneys operates as a technology platform and payment facilitator. Payments made by travelers through the platform are collected on behalf of the partner organizing and providing the tour, who acts as the primary service provider.

CollabJourneys does not act as a tour operator or travel agency and does not provide travel services directly, unless explicitly stated otherwise for a specific product.

2. Cancellations and Refunds

2.1. Partner as Service Provider

Each group tour available on the CollabJourneys platform is organized and provided by an independent partner, who acts as the service provider for the tour. The partner is solely responsible for defining and applying the cancellation, refund, and rescheduling terms applicable to their tour.

2.2. Refund Policy Authority

All cancellations and refunds are governed exclusively by the refund policy established by the partner organizing the tour.

CollabJourneys does not determine, override, or modify partner refund policies and does not guarantee refunds, except where explicitly required by applicable law.

2.3. Platform Limitation Regarding Refunds

By booking a tour through the platform, users acknowledge that CollabJourneys acts solely as an intermediary facilitating payments and communication and is not responsible for the partner’s decisions regarding refunds, cancellation penalties, or timelines, provided such decisions are made in accordance with the partner’s stated policy.

3. Platform Processing Fee

3.1. Processing Fee

In the event of a cancellation, CollabJourneys may retain a platform processing fee of up to 5% of the total amount paid.

This fee covers non-refundable administrative, payment processing, and platform service costs, including transaction fees charged by payment providers.

3.2. Applicability of the Processing Fee

The processing fee:

  • is not a cancellation penalty,
  • is applied only to the extent permitted by applicable law, and
  • may vary depending on the cancellation reason, timing, and circumstances.

3.3. Exceptions

The processing fee may be waived or reduced in cases where:

  • the tour is cancelled by the partner,
  • the cancellation occurs due to force majeure events, or
  • a full refund is legally required.

4. Partner-Initiated Cancellations

If a tour is cancelled by the partner organizing the tour, refunds, rescheduling, or alternative arrangements are handled in accordance with the partner’s cancellation policy and applicable law.

CollabJourneys will facilitate communication between the user and the partner but does not assume responsibility for compensating users beyond the amounts recovered from the partner, unless required by law.

5. Force Majeure

Neither CollabJourneys nor the partner shall be liable for failure or delay in performance resulting from events beyond reasonable control, including but not limited to natural disasters, pandemics, government restrictions, travel bans, strikes, acts of war, or actions of third parties.

5.1. Force Majeure and Refunds

In force majeure situations, refunds, credits, or rescheduling options are determined by the partner, subject to applicable law and the partner’s stated policy.

CollabJourneys does not guarantee refunds in force majeure cases and acts solely as a facilitator of communication and payment processing.

6. Refund Processing Timeline

Refund processing may take up to 60 banking days from the date of confirmed cancellation.

This timeline depends on:

  • the partner releasing the refundable amount,
  • banking and payment provider processing times, and
  • the original payment method used.

CollabJourneys is not responsible for delays caused by partners, banks, or payment service providers.

7. Disputes and Communication

In the event of disputes related to cancellations or refunds, users are encouraged to contact CollabJourneys customer support.

CollabJourneys may assist as an intermediary to facilitate communication but does not guarantee dispute outcomes, which remain subject to the partner’s policies and applicable law.

8. Policy Updates

CollabJourneys reserves the right to modify or update this Payment and Cancellation Policy at any time.

Significant changes will be communicated to users, and the latest version will always be available on the platform.

9. Acceptance

By using the CollabJourneys platform and booking a tour, users confirm that they have read, understood, and agreed to this Payment and Cancellation Policy.
